Data protection and AI use

How Sequence Advisory handles your personal data, and how it uses AI tools in its work.

Who we are

Sequence is the trading name of Sequence Advisory Limited (in formation), the advisory practice of Paul Soares, St Helier, Jersey. Until the company is incorporated, Paul Soares is the controller for the personal data described here; the company will be the controller once incorporated. Contact: hello@sequenceadvisory.com. Registration with the Jersey Office of the Information Commissioner (JOIC): to be confirmed.

What we collect

Your contact details and role; your answers to our diagnostics; recordings, transcripts and notes of our meetings; and documents you choose to share. We ask only for what we need to do the work you ask for.

Why we use it, and on what basis

To provide the diagnostic, report and any engagement you ask for, under our agreement with you. We record meetings only with your agreement, which you can withdraw at any time without affecting the rest of the service. If you opt in, your diagnostic answers are added, without anything that identifies you, to our anonymous benchmarking data.

How we use AI tools

Sequence Advisory uses AI tools to help structure, check and draft its work, including transcribing and analysing recordings of our meetings, which we make only with your agreement. The tools act on our instructions under written terms. Every finding, recommendation and draft is reviewed and approved by Paul Soares, who is accountable for the advice, and no decision about you is made by automated means alone. Details of the tools we use are available on request.

Where it is processed

Some of the tools we use may process data outside Jersey. We transfer data only where the destination has an adequate level of protection or appropriate safeguards are in place.

How long we keep it

We keep personal data only for as long as we need it for the purpose it was collected for, then delete or anonymise it. Meeting recordings and transcripts are kept only while we prepare and check your report. Your report, the verified record of what was agreed, and our engagement records are kept for as long as we need them to meet legal, regulatory and professional obligations and to answer any query or claim about our advice.

How we protect it

We use appropriate technical and organisational measures to keep your data secure. If a personal data breach could affect your rights, we will notify the JOIC within 72 hours of becoming aware of it and, where the risk to you is high, tell you without undue delay.

Your rights

You can ask to see the personal data we hold about you, have it corrected or erased, restrict or object to how we use it, and receive it in a portable form. We respond within four weeks. You also have the right to complain to the Jersey Office of the Information Commissioner.

Turnaround

Your report, action-plan PDF and action-plan page arrive together within 48 hours of the consultative call.
